How do I Plan a Business Itinerary?
If you plan to take business trips to visit potential clients, sell products at fairs or manage contractors in located in other locations, you’ll have to get familiar with the process of planning a business itinerary. The itinerary could be very short, such as a one-stop visit, or a series of stops before you return home. Either way, the process of planning your itinerary is similar to planning a leisure trip with a few key differences.
Schedule your business itinerary at least a month in advance so that you can get reasonable rate quotes and the exact arrangements you need.
Call your business contacts to schedule any meetings before you start setting travel plans. Get detailed event information from event organizers for any industry fairs you’re expected to attend or speeches you’re scheduled to deliver.
Book your flight if required for this trip. Schedule your plane to arrive one to two days before you first business meeting if possible to allow time to rest and go over your plans for the trip. Reserve a rental car or book a car to pick you up at the airport as well.
Book a hotel and contact the hotel ahead of time to book meeting rooms if you’ll need them. Call the hotel before you book to assure you have an Internet connection, wake-up service, and any other details you’ll need to have a successful and pleasant business trip. Consider sharing a hotel room with a co-worker or business colleague if you want to save money—about 17 percent of business people bunk with co-workers, according to a 2010 study by Embassy Suites.
Create a written itinerary based on the plans you’ve made. List all of your important appointments, including the dates, times and locations in order of their occurrence. Summarize the five Ws–who, what, where, when and why–for each entry on the itinerary so that you’re clear on every detail. Pull up an online map program, such as MapQuest, which allows you to set up a series of stops within one search, and print directions to guide you throughout the trip.
Check the weather forecast for the dates of your trip ahead of time in that location so that you can pack accordingly.
Confirm all of your meetings and trip arrangements a few days before you trip. Print your written business itinerary and directions and pack them in your carry-on case along with your laptop and luggage.
